I’ll show you how to build one, where couples often go wrong and what a professional timeline looks like.
Why Your Wedding Timeline Matters
A well-planned timeline ensures that:
You never feel rushed
Your suppliers know exactly where they need to be
There’s enough time for photos, without missing the canapés
Your guests aren’t left waiting
You get breathing space to enjoy the moments that matter
The day feels organised — but not rigid
Think of it as the roadmap that turns your vision into a seamless experience.
1. Start With Your Ceremony Time
Everything revolves around this. Once you know your ceremony start time, you can start working backwards, for the morning and forwards for the reception.
2. Build in Buffer Time (The Most Important Step Couples Skip!)
Hair and makeup always take longer. Travelling between locations always takes longer. Photos always take longer. Guests always take longer to sit down. As a rule of thumb, add 10–15 minutes of buffer to any key transition. It’s the difference between a calm couple… and a rushed one!
3. Share Your Timeline With EVERY Supplier
Photographer, florist, DJ, caterer, venue, transportation, celebrant — everyone. A timeline only works when everyone has it. This is also where having a planner or coordinator becomes pure magic: We manage the timeline so you don’t have to think about it once.

Below is a real, practical example that reflect how the day actually flows:
Example Timeline: Classic 1pm Ceremony

7:30am – Hair + makeup begins
10:30am – Photographer arrives; detail photos
11:00am – Bridal party gets dressed
11:30am – Groom's pre-ceremony photos
12:15pm - Bride to make her way to the venue, pre ceremony photos
12pm – Guests begin to arrive
12:45pm - Guests to be seated
1:00pm – Ceremony begins
1:30pm – Ceremony ends
1:40pm – Confetti + group photos, couples photos
2:00pm – Drinks + Canapés
3:00pm – Seated for Dinner
Speeches can be before or after dinner
3:15pm or 5:00pm – Dinner served, dependant on speeches
Have some entertainment here or a later ceremony means you may not have this gap in the day
7:00pm – Golden hour photos, evening guests to arrive
7:30pm – First dance + cake cutting
8:00pm – Party entertainment to begin
11:45pm – Last dance + carriages
Based on the ceremony time, you can alter this timeline to fit your day and not miss anything out.
Tips to Make Your Timeline Truly Work
✔ Don’t pack the morning too tightly
Hair and makeup delays can throw the whole day off. Start earlier.
✔ Create private moments
Schedule a 5–10 minute “just us” pause after the ceremony before photos. Also I recommend a Sweetheart table just for the wedding couple through the Wedding Breakfast. Here you can eat your first meal together and raise a glass!
✔ Think about lighting
Golden hour photos are a MUST if your venue has beautiful grounds.
✔ Remember your guests’ experience
No long gaps. No waiting with nothing to do. No hungry wedding guests!
